Terms and Conditions

These terms explain how you may use the Batavia Dental website, what you can expect from the information published here, and how our text messaging program works. Please read them before browsing the site further, requesting an appointment, or texting with our office. Using this website means you agree to the terms below.

Last updated: recently. We may revise this page from time to time, as explained further down.

Acceptance of Terms

By visiting bataviadental.com, viewing our pages, or using any form on this site, you agree to these terms and conditions. If you do not agree with any part of them, please do not use the website. We may update these terms periodically, and your continued use of the site after changes are posted means you accept the updated version.

Permitted Use of This Website

This website is here to help you learn about our dental services, our doctors, and our office, and to make it easy to request or change an appointment or get in touch with our team. You are welcome to browse our pages, read our blog, and submit a form to reach us.

What you read here is educational in nature. Descriptions of procedures, treatment options, or oral health topics are meant to help you understand your choices generally - they are not a diagnosis, a treatment plan, or a promise of a specific outcome for your particular mouth or smile. Every patient is different, and what applies to one person's dental situation may not apply to yours.

Intellectual Property and Content Ownership

The text, photographs, logos, graphics, and overall layout of this website belong to Batavia Dental, unless a specific item is credited to another owner. You may view and share pages for personal, non-commercial reference, but you may not copy, republish, or reuse our content, images, or branding for commercial purposes without our written permission.

Accuracy and Disclaimer of Website Information

We do our best to keep our service descriptions, insurance information, and office details accurate and current, but we cannot guarantee that every page is free of errors or fully up to date at all times. A few important points to keep in mind:

  • Recommendations require an exam. Any treatment recommendation is made only after one of our dentists has examined you in person, reviewed your history, and discussed your goals with you.
  • Insurance listings are general. Listing an insurance plan on this site does not guarantee that a specific procedure is covered. Coverage, deductibles, and benefits depend on your individual plan.
  • Fees and policies vary. We do not publish specific fees, scheduling policies, or cancellation charges on this site. Those details are shared directly by our front desk team and may depend on your treatment and insurance.

Limitation of Liability

This website is provided as a convenience to help you learn about our practice and connect with us. We are not liable for any loss or inconvenience that may result from relying solely on information found here instead of speaking with our team directly, or from technical issues such as site downtime, form errors, or delays in receiving a message you submit online.

Acceptable Conduct

We ask every visitor to use this site respectfully and honestly. Specifically, please do not:

  • Submit someone else's health information through our forms or messaging channels without that person's knowledge and authority to do so.
  • Post false reviews or misleading statements about our practice, our doctors, or our staff.
  • Upload harmful content, including anything containing malicious code, spam, or material intended to disrupt the site or harm other visitors.

Links to Third-Party Sites

Our website may link to insurance providers, map services, patient portals, or other outside websites for your convenience. We do not control those sites and are not responsible for their content, privacy practices, or availability. Visiting a linked site is at your own discretion.

Changes to These Terms

We may update this page from time to time to reflect changes in how our website works or how we communicate with patients. We will post the revised terms here, and continuing to use the site after an update means you accept the changes.

No Dentist-Patient Relationship From This Website Alone

Browsing this website, reading our blog, or submitting an appointment request does not, by itself, create a dentist-patient relationship with Batavia Dental. That relationship begins once our practice has accepted you as a patient, typically after your first scheduled visit and in-person examination. Until then, please do not rely on anything sent through our website in place of an office visit, especially for anything urgent.

Educational Content Only - Not Dental Advice

Articles, treatment overviews, and FAQ-style content on this site are written to help you understand general dental topics. They are not personal advice, a diagnosis, or a substitute for an evaluation by one of our dentists. If you have a dental concern, especially pain, swelling, or an injury, please call our office rather than waiting to hear back from a web form.

No Guarantee of Specific Results

Dental and cosmetic outcomes depend on many factors specific to each patient, including oral health history, anatomy, and how well treatment recommendations and home care instructions are followed. Nothing on this website should be read as a promise or guarantee of a particular clinical or cosmetic result.

Protected Health Information

Batavia Dental handles patient health information according to applicable privacy regulations, including HIPAA where it applies to our practice. Forms on this website are meant for general scheduling and contact purposes, not as a substitute for discussing detailed health information with our clinical team in the office or by phone. Please avoid including sensitive medical details in open web forms whenever possible.

Appointments and Cancellations

You can request a new appointment or ask to reschedule an existing one through our Request Appointment page, by phone, or by text message if you have opted in. We ask that you give our office as much notice as possible if you need to cancel or move a visit, so we can offer that time to another patient. Our front desk team can walk you through our current scheduling policies when you book.

Insurance and Financing

Our Insurance page lists plans we commonly work with, along with general payment options we offer. These lists can change, and listing a plan here does not confirm that a specific treatment is covered for you. Your actual coverage, deductible, and out-of-pocket cost are confirmed with your insurance carrier directly, not through this website. Our team is happy to help you check your benefits before treatment begins.

SMS / Text Messaging Program

Batavia Dental may send automated text messages to mobile phone numbers that patients and visitors provide to us. We use this program to keep you informed and to make it easier to stay on top of your dental care. Messages may include:

  • Appointment reminders and confirmations for upcoming visits.
  • Hygiene and recare reminders when it is time to schedule your next cleaning or checkup.
  • Treatment or post-visit follow-up messages to check on how you are doing after a procedure.
  • Office updates, such as weather-related closures or changes to our schedule.
  • Occasional practice announcements you have agreed to receive.

Message frequency varies depending on your appointments and the reminders you are signed up for. Message and data rates may apply. We are not responsible for messages that are delayed or undelivered due to carrier issues outside our control. Messages may be sent using a standard 10-digit long code (10DLC) or a short code.

How You Opt In

When you provide a mobile phone number through a website form, an online appointment or booking request, a keyword text message, or a paper form in our office, you are consenting to receive SMS text messages from Batavia Dental as described above. Consent is not a condition of purchase or of receiving dental services from our practice - opting in to texts is entirely your choice.

Please only provide a mobile number that belongs to you, and by submitting it, you confirm that you are authorized to give consent for that number to receive messages from us.

How You Opt Out and Get Help

You are always in control of this program. Reply STOP at any time to cancel text messages from Batavia Dental. You will receive one confirmation message, and after that you will not receive further program messages unless you opt in again. To resume messages later, reply START or UNSTOP.

If you need assistance, reply HELP at any time, or reach our office directly by calling (630) 872-5369 or visiting our Contact page. You may also simply ask us by phone or in person to remove your number from our texting list.

SMS Privacy and Vendors

Your mobile number and your SMS consent record are used only to send you the messages described above and to meet carrier requirements for text messaging programs. We do not sell this information to third-party marketers. We share it only with the SMS and telephony vendors and mobile carriers needed to deliver our messages. For more on how we handle your personal information generally, please see our Privacy Policy.
